Fee Refund Policy
Fee Refund & Cancellation Policy

At Madrasah Quamrul Huda Rahaspur, we strive to provide a transparent and straightforward process regarding the payment and refund of fees. This policy outlines the conditions under which refunds may be granted.

1. General Principles

  • All requests for refunds must be submitted in writing to the Administrative Office or via the official email listed on our website.
  • The "Date of Application" for a refund will be the date the written request is received by the Madrasah.
  • Refunds will be processed back to the original source of payment or via bank transfer to the parent/guardian’s verified account.

2. Admission & Registration Fees

Non-Refundable: The one-time Admission Fee, Registration Fee, and Prospectus Fee are strictly non-refundable under any circumstances, as these cover initial administrative and processing costs.

3. Tuition Fees (Monthly/Quarterly)

Refunds for tuition fees are subject to the timing of the withdrawal:

Timing of Withdrawal Request Refund Eligibility
Before the start of the academic session 100% of the Tuition Fee paid
Within 15 days of the session start 50% of the Tuition Fee for that month/quarter
After 15 days of the session start No refund for the current month/quarter

4. Hostel and Mess Charges

  • If a student leaves the hostel mid-month, no refund will be provided for the remaining days of that specific month.
  • Advance payments for future months (if any) will be refunded in full, provided a 30-day notice is given before the student vacates.

5. Examination and Activity Fees

Once a student has registered for an examination or participated in a specific Madrasah activity/event, the associated fees are non-refundable.

6. Special Circumstances

The Madrasah Management may, at its sole discretion, consider a partial refund in exceptional cases, such as:

  1. Serious medical emergencies (verified by a certified medical practitioner).
  2. Sudden transfer of the parent/guardian to another city.
  3. Duplicate payments made due to technical errors on the website.

7. Technical/Online Payment Errors

In the event of a technical glitch during an online transaction (e.g., the amount is debited twice or the payment fails but the money is deducted), the user should:

  1. Contact their bank first.
  2. Send a screenshot of the transaction to contact@madrasahquamrulhuda.org.
  3. Verified duplicate payments will be refunded in full within 7–10 working days.

8. Right to Modify

Madrasah Quamrul Huda Rahaspur reserves the right to modify this refund policy at any time. Any changes will be updated on this page and will apply to all payments made after the date of the update.
